Ability to know when a document has been printed
Have you ever asked or been asked "Was that document printed?".

It would be nice if, when the doc was printed, it updated a timestamp column and User() column that was displayable via Views (or could be used in Row Colorization formula to change….the row colour).

This would be a nice addition to both the Formula URL print option and the standard print option.

Surely with TD's flexibility something like this can be added into it's already long list of features/functionality?

This feature would enable us to implement a number of desirable process changes to improve automation and efficencies. The ability to know if and when certain records/documents has been printed is central to these type of changes. I accept that it is not possible to PREVENT print screen and perhaps some other printing, but the value in tracking the "happy path" should not be underestimated.

In short, tracking and, better, tracked control of the print capability in TeamDesk, please.

I'd add to this that being able to do a proper workflow print button rather than the Formula URL work around would be better. Then the timestamping would be easier and the print button could be better managed

Hi

I use a workflow with 2 steps. The first is to update a checkbox (and now a timestamp too) and this update to the record also updates the 'last modified by' field to the current user. The second step is to get the required document emailed to the user by picking up the 'last modified by'.

So the document is emailed (to then be printed) rather than printed directly. Its slower for the user, but works.

It would be great if we can add a custom function, that let you decide when the print button shall appear (be available or active). Thanks.

Thanks Kirill, didn´t see it, but still I won´t be able to affect my "custom function", after pressing the buttom (printing doc). Regards!

I would like to see this functionality implemented. Similar to the Idea I raised a few days ago about being able to record outgoing emails, I need to be able to track when a document was printed, especially if it was used for a communication (fax, letter, proposal). In that case I want to be able to view, the document, print it, store a record of that fact, together with a PDF of what was printed.

Suggestion, look at merging Document functionality with workflow actions. Then we could decide for ourselves what the steps are.

With navigate actions there is a little improvement on Rebecca's method -- instead of sending the document via e-mail you can now navigate to the document.

And we added an option to send PDF document to the printer. In fact this will invoke browser's Print Preview dialog -- there is no way to print the document without confirmation nor we control whether the document was actually printed or the dialog was cancelled.
