Attachments to notifications
I send notifications to banks. The bank's security is not happy with the link in the body of the mail. If I send a normal mail with an attachment the bank can read it.If Teamdesk do the notification with the attachment as a body link the bank's desktop computers say the following:content blocked.

The idea is to have the attachment not in the mail body but in the header like normal mail

Again - collective unconscious... I was thinking the same thing yesterday. It'd be nice to send an email notification to a customer with an attachment - say, an invoice?

Cheers

If you build the document via TeamDesk you'll likely need to have a sort of Print&Send option for documents.

I can see where this would be useful, too. If some document is better kept on the recipient's PC, an attachment is better than a link. Though mostly, we have had success sending links. In our case, it is mostly a PDF manual.

Dear TD team - has any more thought gone into this feature?

I'd love to be able to set up an automatic email notification with a protected document attachment rather than having to have the third party customer sign into TD (basenine) via a document link.

Kind regards - Brett

Even if the customer does not have to sign into teamdesk to retrieve the document (using the file attachment allow public access), customers are requesting to have the document attached to the email.

Hi, It would be handy to be able to send an attachment like recently added 'send document'

I'd be happy to even have a limit on the size of the attachment, or a setable limit per account. The majority of my attachments are under 5mb. So for me, if an attachment is below 5mb I want it attached, but above 5mb I am o.k. with the link.

It was explained to me at one point that TD was worried about a workflow that might accidentally send a 100mb attachment to 1000s of emails. I'm also o.k. with a limit on the number of recipients. I only usually need to send to 1 or 2 emails.

It would also be cool to request read receipts that could trigger a record field that says it was received. OR to receive a reply from the email address it was sent to that would trigger that same 'received' status.

I could really use the ability to send a File Attachment in something I'm working on now.

I'm also OK with limits. My files will probably be < 100 KB each. And only sent to 1 email address.

Currently you can attach a Word document (or PDF) to an email but no other file types.
And inserting an attachment in an email creates a link that only works if the file is made public.

It would be helpful to be able to deliver other types (such as .ppt or .xls files) to email addressees, without having to make those files public for anyone with a link to access.

This would be a huge improvement. As it stands I can email the record data in a pdf but any files saved in the record can only be presented as a link in the email. People expect emailed files to be attachments, it will not occur to them to click links to download the files.

Would be good to see this implemented as links are often frowned upon/disabled which means implementing manual workarounds, which is counter productive.

@All, we've added the ability to attach a file from File-Attachment column to the email notification.

Fantastic!

@Slava,
Is there a way to attach multiple files to the email notification?
I have a record with up to 5 file attachments which need to be sent.
I thought about creating a new file attachment field with allow/see all revisions and executing a CallURL to attach each separate file to that, then send the 'new' file attachment. I'll try, but I can see it likely won't work.
Best regards
Brett

Hi @Brent,

We got around the single file attachment limitation by creating a Formula - XHTML column for each of the File Attachment columns we wanted to include in the email body

This is the formula we used

<a href="'&XHtml((URLRoot() & "/attachment.aspx?fid=" & ColumnId([File01]) & "&id=" & [Job RecordId] & "&rev=" & NotLeft(NotRight([File01], ";"), ";") & "&ext=" & Right(Left([File01], ";"), '.')), 1)&'" target="_blank">'&XHtml(Left([File01], ';'))&"</a>

If you send me your email I'll send you an example of the final output.

It can look ugly as it displays the file name which in some cases can be long. We just havent dealt with this aprt of it yet.

Hope this helps

Dave

Thank you Dave,

I'll take a good look at that right now 🙂

@Brett please consider promoting/commenting Email Documents and Files idea.
basenine 10/13/2022 4:24:46 AM
Thank you Slava,
In the interim, I simply added the file fields to the email body, which puts the link to the file (displayed as the filename)
The recipient can click on that and it will download or display in the web-browser
Best regards,
Brett
